Covance is expanding in Spain, and we have a Receptionist & Facilities Associate role available to work at our offices in Tres Cantos, Madrid.

This is a temporary role, max 12 months duration.

This role will undertake administrative support for the office reception and facilities management, including:
- Providing administrative support to the Spanish Office Manager

* Co-ordinating and supporting both internal and external meetings and seminars, including arranging resources, hospitality, external visitors or presenters, etc. and where applicable take minutes and distribute same in timely manner.
* Booking of travel support
* Organizing language translations, on-boarding of new starters, announcements and departmental communications.
* Ensuring all Health and Safety policies are updated and in line with current legislation.
* Greet visitors and keeping the Visitor Log Book
* Answer and transfer the incoming telephone calls
* Send and collect the courier packages
* Manage the local vendors in respect of the office support – technical issues, cleaning, office supply.
* Maintain stock of supplies for office, prepare order forms, and follow up on deliveries


Ideally, we are looking for someone who has Experience as a receptionist or facilities associate in an international environment. Ability to communicate fluently in English is key for this role.

Diploma – Secondary Education or equivalent, and:

* Good organizational skills.
* Good communication skills.
* Precise in handling numerical data.
* Computer literate in MS Windows and MS Office (especially Word, Excel and Power Point)
